BA - Process Design & Documentation

Max Bill Rate: $112 /hr.

Location: Boston, MA or New York, NY. Hybrid, with 2 to 3 days onsite

Duration: Approximately six months, with the possibility of extension

What is the most important skillset: Asset management, insurance investment, banking, or in consulting to those firms. Proficient with Visio, Lucidchart or an equivalent process mapping tool, and with Word, Excel and PowerPoint. Familiarity with AI tools.

About the Role:

Client is launching a rated note fund serviced by a third-party fund administrator. Operational readiness is Nov. 1, legal close is Dec. 15 and go-live is Jan. 1.

The Business Transformation team within Strategy & Execution (S&E) owns the process documentation for the launch.

This role provides business analysis capacity for that work.

The analyst works with operations owners across six workstreams to map the new and changed process flows, draft the procedures and playbooks that go with them, and keep the deliverable register current as decisions land.

The work is documentation-led rather than advisory, and it is the record the operations teams will run the fund from once it is live.

The role is collaborative by design.

The analyst works alongside colleagues in loan operations, fund operations, finance, data and technology, and the quality of the output depends on drawing the detail out of the people who do the work rather than writing at a distance from them.

Key Responsibilities:

• Work with workstream owners to map new and changed process flows end to end, including the split of activity between client and the fund administrator.
• Capture control points, handoffs, exception paths and system touchpoints in each flow, and identify where a step has no clear owner.
• Help draft operating procedures, desk procedures and playbooks in the team’s templates, and take each one through review with the operations owner.
• Keep the documentation set consistent in structure, template and terminology across the six workstreams: cash management, fund administration, monthly and quarterly reporting, compliance and waterfall, rating agency, and loan servicing and reconciliation.
• Maintain version control so that the current state of each artifact is clear to the team at any point.

Requirements, Decisions and Tracking:

• Help maintain the operational deliverable register, tracking status, owner and open items across workstreams.
• Capture requirements, decisions and open questions from working sessions, and turn them into clear written follow-ups that move items to closure.
• Support the drafting of RACI and service level definitions alongside the subject matter experts and workstream owners.
• Prepare materials for working group and program reviews, working to the existing reporting cadence.

Workshops and Stakeholder Support:

• Prepare, help facilitate and document working sessions with operations, finance, data and technology partners.
• Follow up on open items between sessions, and flag risks to the Nov. 1 readiness date early rather than late.
• Help document data requirements and lineage for compliance and waterfall testing, rating agency reporting, and periodic reporting.

Standard of Completion:

• Two tests apply to everything produced in this engagement.
• Each process flow and procedure is developed and validated with the client operations person who will do the job.
• The documentation set is consistent enough in template and terminology that the operations teams can maintain it after go-live without rework.
• A document that has not been walked through with the person who will own the process is not complete.

Required Qualifications:

• 5 plus years as a business analyst in asset management, insurance investment, banking, or in consulting to those firms.
• Demonstrated process mapping experience, including swimlane and cross-functional flows that went into production use rather than staying in a deck.
• Track record writing operating procedures or desk procedures that the people doing the work actually used.
• Strong requirements elicitation skills, with experience drawing detail out of operations subject matter experts who are busy.
• Proficient with Visio, Lucidchart or an equivalent process mapping tool, and with Word, Excel and PowerPoint.
• Able to carry several workstreams at once against a fixed date, and to work with incomplete information without stalling.
• Highly effective collaborator who writes clearly, asks rather than assumes, and raises issues constructively.

Required Preferred:

• Investment operations exposure across loans, private credit, fund administration or IBOR and ABOR environments.
• Prior experience documenting an outsourced service relationship with a fund administrator, custodian or transfer agent.
• Fund launch or platform implementation experience with a hard external date.
• Experience with a deliverable register or program tooling such as Jira, Confluence or Smartsheet.
• Familiarity with AI tools such as Claude, ChatGPT or Gemini, applied to drafting documentation and synthesizing complex material.
